Receptionist – TASAF

BASIC FUNCTIONS:
Attend to visitors and deal with inquiries on the phone and face to face.

PRINCIPAL DUTIES AND RESPONSIBILITIES
She/He shall:
a) Handle incoming mails and parcels;
b) Take and relay messages;
c) Operate Switchboard.
d) Respond to calls,
e) Register and direct visitors to appropriate destination;
f) Deal with queries from the public and customers;
g) Ensures knowledge of staff movements in and out of organization;
h) Schedule appointments and maintain appointment diary;
i) Ensure tidiness and maintenance of the reception area;
j) Perform any other official duties as may be assigned by the Administrative Officer.

QUALIFICATIONS:
a) Form IV certificate with Front Office Management Certificates or equivalent
qualification;
b) Fluent in written and spoken English and Kiswahili;
c) At least 2 years’ experience as Receptionist in Public and / or Private Sectors;
d) Must be computer literate;
e) Good communication and interpersonal skills.
f) Self motivated with integrity and high level of confidentiality.

KEY PERFORMANCE MEASURES:
a) Effective management of telephones, mails and parcels;
b) Existence of recorded register of visitors;
c) Existence of an updated appointments diary;
d) Feedback on good attendance to the visitors;
