CORPORATE AFFAIRS
1. Coordinates and enhances the linkages between the clients and the
external and internal Stakeholders by:
• Attending National and Regional stakeholder meetings, and preparing
and submitting relevant reports to the Human Resources Director and
relevant Line Management.
• Creating proactive and meaningful relationships with the Community,
Local Leaders, Government, NGO’s, Media, Employees and similar
groups through dialogue, workshops, presentations and sponsorships
(when applicable).
• Coordinating company participation into Social Responsibility Programs
in line with the client’s donation policy.
2. Compiles potential Projects, prepares project plan, contributes to the
project operations, and checks each stage for successful outcome in
compliance with the client’s Policies and Procedures by;
• Coordinating on line reporting annually in line with customer requirements.
• Participateing in Agricultural Labour Practices (ALP) National and
International meetings on behalf of the client.
• Coordinating Social Responsibility Programs incorporating identification
of programmes which can be funded by the client (such as class rooms
construction, supply of books, desks, water wells and clinics/dispensary).
• Coordinating Greenhouse gases emission reports and submits the same
on line with approval from Country and Regional Management.
3. Prepares and submits weekly, monthly, quarterly and annual reports to the
relevant Line Management with regard to Corporate Management, SRP,
Regulatory and Public Relations findings and recommendations.

PUBLIC RELATIONS AND MEDIA
1. Builds and maintains the media in relation to the client’s communications,
ensuring that all information is cleared by the Managing Director through;
• Liaising with the media in the respective stations regarding media
interviews with the farmers.
• Building and maintaining a relationship with local Advertising Agencies,
drafts adverts and relevant material, and submits these for press release,
with the approval of the Human Resources and Managing Director.
• Compiling farmer and Company ‘success stories’ for media print and
video, and inclusion in the client’s magazine and copies for the farmers.
• Managing the client’s public relations agents and tasks them when in
needs.
2. Manages the brand communication in the company, evaluates its efficiency
and effectiveness and reports to the client in line with the branding and
public relations SOP’s by;
• Evaluating the impact of the effectiveness and efficiency of the brand
communication in line with the client’s standards.
• Checking, analyzing and reporting on the blending of the corporate
culture with the products and services, and how the external stakeholders
view the Company.
• Champions the development of brand positioning and vision to enhance
brand equity and reports to Corporate and the client regarding findings
and recommendations.

CONTRACTS AND REGULATORY ADMINISTRATION
1. Receives and vets tobacco buying contracts for primary societies, associations
and individual farmers and submits them to the Managing Director for
sign off by;
• Receiving and vetting tobacco buying contracts for primary societies,

Managing Director for sign off;
• On behalf of the client attends tobacco industry regulatory meetings
convened by the Tobacco Board and submits the reports to
Managing Director;
2. Ensures smooth regulatory administration of the client by;
• Ensuring that the client obtains relevant tobacco licenses in line with
the requirement of the Tobacco Industry Act.
• Attending quarterly Tobacco Council Meetings and submits the
report to the clients Top Management.
• Inspecting, following up and enforcing compliance to Legal and
other Regulatory Authority requirements.
• Attending bi-annual T5 (Tobacco Coalition in Africa) and FCTC
(Framework Convention on Tobacco Control) meetings and submits
reports to the client’s Top Management.
3. Participates in the negotiation and reviews contracts with farmers and
Farmer organizations for tree planting, and ensures the relevant
contracts have been signed by the management of the client and
farmer organizations.
QUALITY MANAGEMENT SYSTEMS
1. Follows up, coordinates and ensures the implementation of Quality and
Environmental Management Systems by;
• Following up and ensuring the implementation of Quality and
Environmental Management Systems in line with ISO 9001:2008 and
ISO14001:2004 requirements.
• Acting as the Management Representative to the Quality and
Environmental Management Systems.
• Coordinating internal and external Quality and Environmental Audits
annually.
• Preparing an internal audit findings summary and Convenes Management
review meetings annually.
COMPANY SECRETARIAL DUTIES
1. In liaison with the Managing Director convenes the executive management
and board meetings by;
• Liaising with the Managing Director convenes the executive management
and board meetings on monthly and quarterly basis respectively.
• Participating and recording proceedings in the client’s Executive
Management and Board meetings.
• Circulating the executive management and board meeting
resolutions to respective members.
• Acting as custodian of board and executive management meeting
minutes and other related documents.
2. Ensures that the SRTP, SHE, Security and ISO Policies and Procedures
are implemented and adhered to throughout the relevant Factory
operations in compliance with AOI SRTP, SHE, and Security Policies and
ISO Standards.

KNOWLEDGE AREAS
• Corporate Affairs and how they are managed.
• Public and Media Relationships and how they are created and
maintained.
• Community, Government, Stakeholders and Local Authorities
structures and operations and intercommunication.
• Regulatory contractual requirements, compliance and licensing for the
client.
• Organisation structures, objectives and functions of the client.

PREFERRED EDUCATION
• A Degree in Mass Communications or similar
• Post Graduate Degree in Mass Communication will be desirable

RELEVANT EXPERIENCE AND SKILLS
• 4 to 6 years Corporate Affairs and relations, with focus on public
relations and Government and Community relationships in the Tanzania
Tobacco Industry or similar.
• Ability to communicate verbally and in writing in English and Kiswahili
language
• Interpersonal and interactive skills
• Ability to solve, analyse and recommend on Corporate and Public
relations related issues
