Programme Communications Coordinator – Plan International – Dar es salaam

The Role
The position is responsible for supporting programmes by guiding project teams to develop, implement and monitor communications and visibility/branding plans, gathering, compiling, documenting, archiving, updating, packaging and sharing of critical information, best practices and learning both from within Plan and externally- that are key to support the achievement of country programme goals in marketing, fundraising, external influence and branding.

Dimensions of Role
• The post holder is responsible for implementing Plan International Tanzania’s programme support communications strategy, such as but not limited to assisting project teams to prepare, implement, monitor communications and visibility/branding plans, gathering, documenting, archiving, packaging and sharing of critical information, best practices and learning both from within Plan International Tanzania and beyond.
• Establishing and maintain tools, systems and database for information and learning at the Country, Programme Unit and Programme Office levels
• The job holder has no direct but will work with PU/Programme Area communications focal points in discharging his/her dutie.

Typical Responsibilities- Key End Results
• Timely preparation, implementation and monitoring of project’s communications and visibility/branding plans
• Prepare programme/project fact/information sheets/profiles
• Develop project summaries / approach to different projects
• Capturing of learning and case studies/success stories, systematic documentation, research, compilation and utilization of the information for external influence, informing strategic direction, strategic planning, reporting and other organizational objectives
• Promote knowledge sharing among programme, project teams at CO, PU and Programme Area levels through Plan’s corporate systems such as shared folders, PlaNet and emails etc.
• Establish and nurture lessons learned and best practices amongst Plan International Tanzania staff at different levels
• Train staff on information, learning and knowledge management, including but not limited to the use of intranet, shared folders, Planet etc.
• Establish an innovative, user friendly, reliable, and up-to-date internal information database for experiences sharing, knowledge sharing, information sharing and make it accessible
• Prepare case studies and success stories and share learnt lessons to internal staff and externally as appropriate
• Help disseminate information about the organization’s information and knowledge sharing programme to internal and external audiences
• Compile and systematically archive events, communications, researches, regular corporate reports such as the CPPR and make available for proper use for marketing, fundraising, campaign and advocacy programs
• Develop corporate information and knowledge inventory to assist with ensuring an ongoing information and knowledge management requirements are met
• Produce and implement Countrywide information and knowledge management guideline, procedures and business plan
• Analyse information and data and share to internal staff for proper use and externally as relevant
• Closely work with the Communication Manager and Media Coordinator in order to ensure that regular online, print and video productions etc are properly and systematically archived and shared both for internal and external consumptions
• Support CO, Programme Units and Programme Areas to have systematic, user friendly and up-to-date knowledge and information management systems
• Develop a schedule for sharing newsletter.

Dealing with Problems
The job demands working with various people in the Programme and Communications Departments’ staff both at the Country Office, Programme Units and Programme Areas for the purpose of gathering and verifying information and leanings and then packaging and sharing back as appropriate.

Communications and Working Relationships
Internal
Work closely with the Communications Manager and Media Coordinator, head of sections, Monitoring, Evaluation and Research department, Information Technology (IT) Manager, projects teams’ staff, emergency, operations, and campaigns teams.
Knowledge, Skills, Behaviours, and Experience
• Bachelors’ Degree in Mass Communications, Journalism, Information Science and Management, Marketing Communications, or related fields of study
• Ideally minimum of five years relevant work experience such as data and information management, preferably in international development and humanitarian organizations
• Proficiency in digital communications and graphics

Knowledge
• Have a good knowledge of Plan’s Child Protection Policy
• Have a good knowledge of information management
• Up-to-date knowledge of international development issues
• Up-to-date knowledge of the operating environment and skills in contextualizing operations

Physical Environment and Demands
• Typical office environment
• The job requires frequent travelling to Programme Units, Programme Areas, communities we work with, visit children and partner organizations etc in order to gather and/or share learning and best practices (approximately 40%)

Level of Contact with Children
High level Contact with Children: the job demands frequent interaction with children as the job holder often attempts to contact children for the gathering of case studies and will have high access to information related to children as well.
